Processing sales with Lightspeed Scanner (X-Series)

  • Available on Basic, Core, and Plus plans (set up must be completed by an Admin user).
  • Available in the US, Canada, Australia, the UK, Ireland, and the Netherlands.
  • Available to store locations approved to use Lightspeed Payments.
  • Available on iPhone and Android.

Lightspeed Scanner enables on-the-move inventory management and the ability to generate and process sales directly in the app with Lightspeed Payments Tap to Pay on iPhone and Android.

Device requirements

To use Tap to Pay, you must meet the following device requirements:

  • Device requirements for iPhone

    • iPhone XS or later, running iOS 17.4+
    • One Apple ID is required for all installs of Tap to Pay functionality.
    • Scanner app must be version v6.0.0+.
    • Access to WiFi or cellular data connection to process sales and take payments.
    • Location access enabled to verify Tap to Pay payment and comply with PCI requirements.
    • Device must have a security PIN.
  • Device requirements for Android

    • Android device running version 13+.
    • Security updates must be installed within the past 12 months.
    • Has a functioning, integrated NFC sensor and ARM-based processor.
    • Uses Google Mobile Services and has the Google Play Store app installed.
    • Access to a stable WiFi or cellular data connection, which allows access to the Internet to process sales and take payments.
    • Isn't rooted, and the device bootloader is locked and unchanged.
    • Has a keystore with hardware support for ECDH (FEATURE_HARDWARE_KEYSTORE version must be 100 or later).
    • Runs the unmodified manufacturer-provided OS.
    • Has Developer options disabled.
    • Location access enabled to verify Tap to Pay payment and comply with PCI requirements.
    • Device must have a security PIN.

Activating Tap to Pay

  • Activating Tap to Pay on iPhone

    Only Admin users can set up Tap to Pay on iPhone and accept Apple's Tap to Pay for iPhone terms and conditions.

    To activate Tap to Pay on iPhone:

    1. Download the Lightspeed Scanner app for iPhone.
    2. Sign in to the app.
    3. Once the feature has been enabled on your account, you'll see a Sell tab on the main navigation of the Scanner app. Click the Sell tab.
    4. Choose a register. This is the register that sales will be attributed to.
    5. Sign in with your Apple ID to review and accept Apple's Tap to Pay on iPhone Terms and Conditions by tapping Continue. You must agree to the Tap to Pay on iPhone Terms and Conditions for each outlet using the feature. Only the account Admin can sign terms and conditions.

      Signing into one device with your Apple ID will link other iPhones using the same Apple ID in your outlet (that meet device requirements) to Scanner. They will also be able to use Tap to Pay on iPhone.

    6. Select Allow While Using App on the location access pop-up. Tap to Pay requires access to the device's location to verify payment and comply with PCI requirements.

    7. A software update will automatically run to complete the Tap to Pay on iPhone activation.

    After signing into one device, other iPhones using the app that meet device requirements will be able to use Tap to Pay on iPhone functionality.

  • Activating Tap to Pay on Android

    To activate Tap to Pay on Android:

    1. Download the Lightspeed Scanner app for Android.
    2. Sign in to the app.
    3. Enable the NFC settings on your device.
    4. After the feature has been enabled on your account, select an outlet.

    6. Choose a register that sales will be attributed to.

After setup, you're ready to start making sales.

Creating a sale with Lightspeed Scanner

  1. Open the Lightspeed Scanner app and navigate to the Sell tab.
  2. Add products to the mobile cart by typing or scanning in the Search for products field.

  3. Tap the Add customer icon at the top right of the screen and use the Add customer to the cart field to search for a customer profile. If the customer does not already have a customer profile, enter their name and select Add “X” as new customer, following the on-screen prompts to create and attach the new customer.

  4. (Optional) Tap the More options ellipsis icon at the top right of the screen and select one of the options to add additional requirements to the sale, such as a sales note, promo code, or discount.

If you have a product with a conditional promotion applied, a message will automatically trigger to alert the salesperson. Tap View products and other eligible products will display.

Select a product to add it to the cart, or swipe down to dismiss the menu and continue the sale.

Processing a payment with Lightspeed Payments Tap to Pay

  1. When the sale is ready to be paid, tap Pay.

  2. Have the customer tap their card or digital wallet device on the area indicated on the screen. If PIN verification is required, the customer must enter their PIN using the on-screen number pad. For non-PIN verification purchases, the payment will process automatically.

  3. Once completed, a receipt can be emailed to the customer using the Email receipt to field, or tap Complete sale to finish.

Processing an On account sale

On account sales allow a customer to purchase and take products which they pay for at a later date. To process an On account sale using the Scanner app:

  1. Tap Other payment types.

  2. Tap On account.

    If the On account option is grayed out, the sale exceeds the On account limit. The customer will need to pay down their balance, or make a partial payment using another payment method and put the remaining balance On account. If you have the appropriate user permissions, you can optionally increase the customer's On account limit.

  3. Once completed, a receipt can be emailed to the customer using the Email receipt to field, or tap Complete sale to finish.

Processing a sale with loyalty or store credit

  • Only available on iPhone.
  1. In the Scanner app (iOS), tap Other payment types.

  2. Review available balances, then tap either Loyalty or Store Credit.

  4. If a balance remains on the sale, process the remaining balance using the desired payment type.

Parking a sale on the Lightspeed Scanner app

You can start a sale using the Scanner app, park the sale, and then complete the sale on any in-store register. The process for parking a sale depends on whether you're using Lightspeed Payments and whether you have a customer attached to a sale or not.

  1. Open the Lightspeed Scanner app.
  2. Add products to your cart.
  3. After adding the products, tap Other payment types.
  4. Tap Park sale.

Parking a sale without a customer attached

If you are not using Lightspeed Payments, follow these steps.

To park a sale without a customer attached, or if you aren't using Lightspeed Payments:

  1. Open the Lightspeed Scanner app.
  2. Add products to your cart.
  3. After you've added products to your cart, tap Park sale.

Tap to Pay FAQs

  • Tap to Pay is available to merchants with Lightspeed Payments on Core, Plus, and Advanced plans. If you are not on one of these plans, you can upgrade your plan by navigating to Settings > Billing.

    If you are subscribed to one of the eligible plans and Sell is not visible, log out of the Scanner app and log back in again. If the issue persists, contact Support.

  • No. There is no limit on the number of devices that can be used in-store.
  • You can switch registers on the Scanner app to sell from multiple locations, however, you can't sell from more than four outlets in a single 24-hour period using the same device. If you try to sell from a fifth location, you will receive an error message and the sale won't complete.
  • Yes. If your device is connected to a mobile network, you can process sales and accept payments using Scanner app, even if your main register is not online. Refunds can't be processed on Scanner app.
  • If the Pay button is grayed out, check the following:
    • The outlet or register you are signed into on Scanner app is approved to use Lightspeed Payments.
    • You have a default tax rate set for the outlet.
    • Scanner app has access to your device's location.
    • A product is added to the sale.
    • iPhone only: Tap to Pay terms and conditions have been signed. Only store Admins can sign Apple's Tap to Pay for iPhone terms and conditions.
  • You can't edit a product's sale price during a sale, but you can apply a discount to change the price.
  • If you have properly set product prices in Retail POS and your products are showing as $0 when added to the cart in Scanner app, log out of the app and log back in. If the issue persists, contact Support.

Tap to Pay on iPhone FAQs

  • All transactions are subject to applicable credit card processing rates from Lightspeed Payments.
  • Tap to Pay on iPhone includes support for Visa, Mastercard, American Express contactless cards, and NFC-based mobile wallets (Apple Pay, Google Pay, and Samsung Pay). PIN entry is supported in eligible markets. Additionally, Discover is supported in the US, Interac is supported in Canada, and EFTPOS is supported in Australia.
  • Tap to Pay may request a PIN for the transaction if:
    • The payment exceeds the contactless limit or if the card issuer requires a PIN.
    • The customer is paying with a card that supports online PIN, a PIN entry screen will appear on the phone, allowing the customer to enter their code.
    • The customer has a card that must be inserted into a reader (not supported on iPhone). You can use one of the following alternative methods to accept payment:
      • Ask the customer if they can pay with a digital wallet, such as Apple Pay or Google Wallet.
      • Ask the customer to try paying with another card.
      • Park the sale and process payment on a Lightspeed Payments terminal.
  • Amounts over the values below may prompt PIN entry on the merchant's iPhone:

    • Australia: $100 AUD to $200 AUD depending on the card scheme
    • Canada: $250 CAD*
    • United Kingdom: £100 GBP*
    • United States: No limit
    • Ireland: €50
    • The Netherlands: €50

    *In the UK and Canada, there are specific considerations for contactless payments due to regional requirements and card issuer policies. In the UK, some cards might need to be inserted into a device to comply with Strong Customer Authentication requirements, which vary depending on the issuer. In such cases, the payment will be declined before the PIN screen appears, with the reason offline_pin_required.

    Similarly, in Canada, the majority of issued cards are offline PIN only, meaning they require contact (for example, insertion into a device) to provide a PIN. Tap to Pay on iPhone doesn’t support offline PIN (only online PIN), which means any transaction over the CVM limit ($250 CAD) for cards that only support offline PIN will be declined.

    In these scenarios, one of the alternative payment methods should be used:

    • Ask the customer if they can pay with a digital wallet, such as Apple Pay or Google Wallet.
    • Ask the customer to try paying with another card.
    • Park the sale and process payment on a Lightspeed Payments terminal.
  • No, you can only use an iPhone to accept payments with Tap to Pay on iPhone.
  • Yes, the Lightspeed Scanner app is PCI compliant and includes end-to-end encryption. Tap to Pay on iPhone uses the built-in features of iPhone to keep your data private and secure. Apple does not store card numbers on the device or on Apple servers when a payment is processed.

Tap to Pay on Android FAQs

  • All transactions are subject to applicable credit card processing rates from Lightspeed Payments.
  • Tap to Pay on Android includes support for Visa, Mastercard, American Express contactless cards, and NFC-based mobile wallets (Apple Pay, Google Pay, and Samsung Pay).
