Adding, editing, and viewing products in Lightspeed Scanner (X-Series)

When using the Lightspeed Scanner app, products that are not currently in your Retail POS catalog can be added quickly within the app, without having to return to your office computer. Scanner also lets you add key product data needed to get your product on Retail POS (X-Series) and ready to sell right away.

Adding a standard product

  • Adding a standard product for iOS

    1. In the Scanner app for iOS, tap the Products tab.
    2. Tap +.

    3. Use the Enter a product name field to name your product.

    4. Select an SKU type from the Code type dropdown and enter an SKU in the Code field to customize the SKU. To scan the SKU directly from the product, tap the barcode icon in the field to open your device’s camera. To automatically generate an SKU, leave this section blank.
    5. To add multiple SKUs, tap Add another code and enter its details.
    6. In the Supply price field, enter the product's supply price.

    7. Enter the markup percentage into the Markup field, or enter the total price into the Retail price field.
    8. Complete any optional fields.
    9. Tap Save to save changes.
    10. If you opted to have the SKU automatically generated, tap Auto-generate Code in the pop-up that opens, then tap Save again.

    You will be automatically redirected to the Products tab, and your product will have been saved.

  • Adding a standard product for Android

    1. In the Scanner app for Android, tap the Products tab.

    3. Enter the name of the product into the Product name field.

    4. Select an SKU type from the Code type dropdown and enter an SKU in the Code field to customize the SKU. To scan the SKU directly from the product, select the barcode icon in the field to open your device’s camera. To automatically generate an SKU, leave this section blank.

    5. In the Supply price field, enter the product's supply price.

    7. Complete any optional fields.
    8. Tap Save.

Optional fields

When creating an item in Lightspeed Scanner, there are some optional fields and settings that you can choose to include. These provide more information about the item and make searching for the item easier.

Description

A description of the item. If you have an eCom integration, the description will be customer-facing and should describe the product in detail.

Type this into the Description field.

Brand

A brand is the manufacturer of the item. These can be created in Retail POS. To assign a brand:

  1. Tap Brand.
  2. Tap the appropriate brand, then tap the checkmark when finished.

Categories

Categories allow you to create and assign multi-level categories to your products. Use product categories to organize and track your product catalog at a granular level. To assign categories:

  1. Tap Category.
  2. Tap the appropriate category, then tap the checkmark when finished.

Tags

Tags are used to filter products into groups for reporting or running promotions that only apply to a specific group. Products can have multiple tags. To add tags to a product:

  1. Tap Tags.
  2. Tap each tag you want to add. Added tags will move to the top of the screen and can be removed by tapping them again.
  3. Tap the checkmark when done adding tags.

Images

Images show what a product looks like at a glance. These are visible on all platforms, including your eCom site (if applicable). To add images to a product:

  1. In the Upload images section, tap +.
  2. On the menu displayed, select whether you want to add an image from your Camera, Photo library, or Paste from clipboard, then take, select, or paste the relevant image.

  3. Use the built-in photo editor to crop, flip, or rotate your image.

  4. Tap Done when editing is complete. 

You can tap an image to Make primary image or Remove image.

Inventory and locations

Use inventory to keep track of how many of an item you have in each of your outlets. Use location to note where exactly in your store the product is kept. To specify inventory and location:

  1. Under Inventory and location, tap your store's name.
  2. In the Inventory field, enter the amount of the product in your store's inventory.

  3. Tap Add location to specify the location of this product.
  4. Specify the location using the Aisle, Bay, Shelf, and/or Bin fields.

  5. To add a second location, tap + Add another location.
  6. When finished, tap Done to return to the Inventory and location screen.

Adding a product with variants

Adding variant products is only supported on iOS at this time.

  1. In the Scanner app for iOS, tap the Products tab.
  2. Tap +.
  3. Enter the name of the product into the Enter a product name field.
  4. Turn on the Product with variants toggle.

  5. Tap Add variant.
  6. Enter the Variant attribute, such as Size.

  7. Enter the Value, such as Small. There can be multiple values for each attribute. Separate each with a comma.
  8. If you require more attributes for the product, select Add another attribute and repeat steps 6-7. Otherwise, tap Save.
  9. Tap Edit to edit variant information and to add more variants.

    Tap a value to edit the individual information for each variant product.

  10. Select an SKU type from the Code type dropdown and enter an SKU in the Code field to customize the SKU. To scan the SKU directly from the product, select the barcode icon in the field to open your device’s camera. To automatically generate an SKU, leave this section blank.
  11. In the Supply price field, enter the variant product's supply price.

  12. Enter the markup percentage into the Markup field, or enter the total price into the Retail price field. To apply these prices to all variants, toggle on the Apply prices to all variants toggle. Otherwise, you will need to repeat this step for each individual variant.
  13. Tap Save.
  14. Once product information has been edited for all variants, tap Save.
  15. If you opted to have the SKU automatically generated, select Auto-generate Code from the dialog box that opens, and tap Save again.

You will be automatically redirected to the Products tab, and your product will be created.

Editing products

  1. Navigate to the Products tab.
  2. In the Search products field, enter the product's name or scan the product's barcode.

    Optionally, use the Brand, Category, and/or Tag filters to narrow your search results.

  3. Tap the product to select it.
  4. Tap ... (more) on iOS or Actions on Android.
  5. Tap Edit product.

  6. Edit the product information as required.

  7. To mark an image as the primary image for a product, tap the image and then tap Make primary image.

    To delete an image, tap the image, then tap Remove image.

    Images for variant products cannot be added or edited in Lightspeed Scanner.

  8. When you're done editing, tap Save.

Edits to product information using Lightspeed Scanner are recorded in the Sales history.

Searching for products

To search for products on your device, navigate to the Products tab.

To manually search for products, type the product name in the Search products field.

You can use the Brand, Category, and/or Tag search filters to narrow down your search.

Tap the search filter, select the desired options from the list, and tap Done.

To clear a search filter, tap the filter, tap Clear, and then tap Done.

To use the barcode scanner, tap Camera scanner.

The rear-facing camera will open, allowing you to scan your product’s barcode to look up its details.

Viewing product information

By navigating to a specific product, you'll find all the product's information, including how many variants there are (if applicable), total inventory, supplier price, retail price, and more. Tap one of the categories to access more information.

    Overview

    • SKU: SKU of the item.
    • Pricing: Displays the retail price. Tap to see more detailed pricing information, including the supplier price, retail price, and different prices between variants (if applicable). Tap each variant to view its specific pricing information.

    • Inventory: Inventory for each location and total for across all outlets. Tap to see more detailed inventory information. Tap the truck icon to see inventory movement details.

    • Items sold: Tap to show the history of items sold over the last 30 days.

    • Serial numbers: Tap this to see if a product has serial numbers. If so, a checkmark will be displayed.

    Variant information

Adjusting inventory for write-offs

You can adjust your stock using the Scanner app to remove inventory for items that are damaged, expired, used internally, or stolen.

  1. Search for your product.
  2. Tap ... (more) on iOS or Actions on Android.
  3. Tap Adjust inventory.

  4. If your product has variants, tap the variant you are adjusting.
  5. In the Adjustment reason dropdown, select the reason for your adjustment.

  6. In the Adjustment quantity field, enter the number of inventory items being adjusted. Your expected inventory adjustment will automatically display.

  7. Tap Save.
  8. Adjust other variants, if necessary. When finished, tap Confirm.

You will be redirected to the product's page.
