Managing direct debit (ACH) payments

  • Offering direct debit (ACH) as a payment option is only available for eligible merchants in the US.
  • This feature is in beta and may not be available in your account.

Customers in the US can pay invoices or account statement balances using a direct debit (ACH) saved payment method.

Adding direct debit saved payment methods

As direct debit (ACH) payments require customer authentication with their bank, only customers can add direct debit as a saved payment method to their customer profile.

To save a direct debit payment method, customers in the US can check the Save payment method for future purchases box below the embedded Lightspeed Payments form when paying an invoice or account statement balance.

Viewing direct debit payment methods

After a customer has saved their payment details for future use, you can view saved payments in the customer profile:

  1. Navigate to Customers > Customers.
  2. Locate a customer and click to expand the row.
  3. Click the Saved payment methods tab.

Managing direct debit payments made to outstanding balances

If a customer has added direct debit as a saved payment method to their customer profile, it can be used to make a payment to an On account balance.

If a direct debit payment method is used to pay an outstanding balance:

  • The payment will take 1-5 days to clear.
  • Invoices or account statements paid with direct debit will display a pending payment notice on the statement, the customer's accounts receivable page, and the Sales history.

Managing pending direct debit payments

While a direct debit payment is pending:

  • Payments equaling the total value of the invoices or account statements with pending direct debit payments cannot be applied to the account to avoid duplicate payments.

    You can settle the remaining outstanding balance, minus the pending direct debit value, separately if needed. For example, if a customer has a total account balance of $150 with a pending direct debit payment of $50, you can send a payment request for the remaining $100.

  • Refunds for direct debit payments must be completed via the Financial services page.
  • The pending payment must clear before the payment can be edited or the sale can be voided.

Setting up a manual transfer payment type

If you don't have Lightspeed Payments or have a process where customers deposit payments directly into your company's bank account, you can set up a direct debit or transfer manual payment type in Retail POS to record the payment.

This payment type will require you to manually take payment for the sale, verify the deposit was received in your bank account, and then confirm in Retail POS once the sale is closed. As this payment is not integrated with Retail POS, it's important to verify that you received the payment before confirming in Retail POS to avoid issues with your register closures later.

To set up a direct debit or transfer manual payment type in Retail POS:

  1. Navigate to Setup > Payment types.
  2. Click Add payment type.
  3. From the Payment type dropdown, select Other payment method.
  4. Click Begin setup.
  5. Add a name for the payment type (for example, "Direct debit").
  6. From the Outlets dropdown, select the outlets to add the payment type to, if applicable.
  7. Leave the Gateway field blank.
  8. In the Payment reference section, check the Ask for a reference number box to allow staff to record a reference number, like the transaction ID.
  9. Click Save payment type.

A button for this payment type will appear on the payment screen the next time you process a sale. You'll need to process the payment separately and then enter the details in Retail POS.
