Selling services in Retail POS (X-Series)

In addition to selling products, your business may also provide services, such as repairs, cleaning, or maintenance. With Retail POS you can attach services to sales on the Sell screen, allowing you to manage sales with services using the Services page.

Creating a sale with a service

Services can be attached to all sales types, including regular, unfulfilled, and on-account sales.

  1. Navigate to Sell > Sell.
  2. Attach a customer to your sale and add the desired products, including any non-inventoried products for servicing.

    When the sale includes products that are out of stock, click More actions and select Mark as unfulfilled to create an unfulfilled sale. For more information on unfulfilled sales, refer to our Special order fulfillment in Retail POS (X-Series) guide

  3. Click More actions and select Create service.

  4. To log a customer's item for servicing, select Add an item. You can enter new details or update existing service items in the Item name, Serial number, Description, and Condition fields. Edits to existing items will update historical records for consistency. If no physical item is involved, choose There is no item. Click Next to proceed. This is available only on Web, not iOS.   5. To schedule the service for a specific date, enter how long the service will take using the Hour and Minutes fields, then select an available Date from the list. To skip scheduling, click Next.

    You can use the Scheduled services column to determine what is currently scheduled on a given date to inform your selection. Once you enter how long the new service will take, the time will be added to the New schedule column.

  6. Enter a description of the work to be completed into the Notes field and where in the store the customer items are located in the Location of items field. If there are no notes and/or no items recorded, leave these fields as required.

  7. Click Create service. If an email or phone number is not attached to the customer profile, you will be prompted to enter the customer’s contact information before the service can be created.

Taking payment in full

The payment method used may affect what information can be edited on the sale. A sale with a service that is paid in full cannot be edited once processed. Partial payment or no payment sales with a service vary depending on how the sale was processed. Inventory for any products attached to a sale with a service is immediately removed from your store once payment (including partial and no payment) is completed. 

  1. Create a sale with a service.
  2. Click Pay.

  3. Select the desired payment method to complete the sale.

  4. Click Complete Sale.

Taking a partial payment (deposit)

For services that require a deposit, you can process a partial payment and then place the remaining on layby or on account for the remaining balance to be paid later.

  1. Create a sale with a service.
  2. Click Pay.
  3. Enter the partial payment amount and select a payment method to process the payment. This includes layby, on account, store credit, and loyalty, if used within your business. Once processed, the sale will recalculate to display the remaining balance owed.

    For services attached to an unfulfilled sale, once a deposit is taken, click Save Sale and then skip step 4. This will set the service status to Awaiting part on the Services page.

  4. Click Layby or On account to save the remaining balance to be paid later.

  5. Click Complete Sale.

The sale will show then be displayed in the sales history as partially paid and service pending. The remaining balance can be paid when your customer picks up their item once the service is completed.

Taking no payment

For services that do not require any payment prior to completion, you can process the sale as a layby or on account sale as you would a partial payment.

  1. Create a sale with a service.
  2. Click Pay.

    For services attached to an unfulfilled sale, click Save Sale and then skip step 4. This will set the service status to Awaiting part on the Services page.

  3. Click Layby or On account to process the total to be paid later.
