Editing variant products

After creating a product with variants, you may need to edit the product or delete variant attributes. You can also fix duplicate variants in case of errors that occur after importing products.

Editing variants

You can edit a product's variant attributes, values, and other variant-specific information on the product's page. To do this:

  1. Navigate to Products.
  2. Find your product with variants, using the filters as necessary. Click on the pencil (edit) icon.

  3. Make any necessary changes in the Variants section, including adding more variants.
  4. When finished, click Save.

Editing the inventory of variant products

You can edit the inventory of individual variant products.

  1. In the Variants section, click on an individual product variant to expand it.
  2. In the Inventory levels section, change your Current inventory for the variant in each of your store locations.

  3. When finished, click Save.

Changing the name of a variant value

You can change the name of a variant value without having to delete and recreate a variant.

  1. In the Variants section, click Edit value names.

  2. In the pop-up window, type in the new name for each value.

  3. Click Apply changes.
  4. When finished editing any other product qualities, click Save.

The variant product will automatically have the new name applied to all sales and reports, including previous sales.

If this product is used in a quick key, you will need to delete the existing quick key and re-add the product as a new quick key for the changed value name to display.

Making a variant inactive

If you temporarily don't want to have a variant available for sale, you can make it inactive and reactivate it at a later time.

  1. In the Variants section, click the Enable toggle for each variant you want to make inactive or active.

  2. When finished, click Save.

The inactive variant will no longer display when adding products to a sale.

If this product is used in a quick key, making one variant inactive will render the quick key unusable. You will need to delete the existing quick key and re-add the product as a new quick key.

Deleting variants

Deleting a variant attribute

If you no longer offer a specific variant attribute, you can delete the attribute without deleting the entire product. To do this:

  1. Navigate to Products.
  2. Find your product with variants, using the filters as necessary. Click on the pencil (edit) icon.

  3. In the Variants section, click the trash (delete) icon next to the attribute you want to delete.

    The first attribute of a variant can't be deleted in this way. To change the variant attribute order, click and drag the attribute using the six-dot (drag) icon.

  4. Click Delete x values. The to-be-deleted variants will show a trash icon instead of a pencil icon.

  5. Click the trash (delete) icon next to the valueless attribute.

Deleting a value

If you still offer a variant attribute (such as Color) but no longer offer a specific value (such as Red), you can delete only the value without deleting the attribute.

  1. Navigate to Products.
  2. Find your product with variants, using the filters as necessary. Click on the pencil (edit) icon.

  4. Click Delete x values. The to-be-deleted variants will show a trash icon instead of a pencil icon.

Deleting a specific variant

You can delete a specific variant while leaving the attributes and values of a variant product intact.

  1. Navigate to Products.
  2. Find your product with variants, using the filters as necessary. Click on the pencil (edit) icon.

  4. Click Remove variant.

A deleted variant will have its inventory levels and average cost deleted. While you can restore this variant in the future, it will have zero inventory and average cost.

Fixing duplicate variants

Having duplicate variant products is a common error that occurs for many retailers, particularly after importing products in bulk using a CSV. Retail POS automatically checks for duplicate variant products. You need to resolve the conflicts before you can make further edits to your variant products.

To check if you have duplicate variant products and fix the problem:

  1. Navigate to Products.
  2. Find your product with variants, using the filters as necessary. Click on the pencil (edit) icon.
  3. In the Variants section, click Fix x conflicts.

  4. In the pop-up window, select the variant product to keep. The duplicates will be converted into separate inactive products, and their inventory will transfer to the kept product.

  5. If you have other duplicate variant products, click Next and repeat the selection process.
  6. When you've finished selecting your kept products, click Save changes.

Once you have fixed the duplicate variants, we recommend that you perform a partial inventory count on the kept variant product to ensure that you have the correct inventory count.

Duplicate variants and composite products

If you have a composite product containing a duplicate variant product which was not kept, its inventory may be incorrect.

Retail POS will not prompt you if you have a duplicate variant in a composite product. To ensure that your inventory counts are correct after fixing the duplicate variant products, we recommend that you:

  • Edit the composite product.
  • Delete the unkept variant product.
  • Add the kept variant product to the composite product.
