Linking existing Retail POS (X-Series) and BigCommerce products

If you have existing products in both Retail POS and BigCommerce, we recommend linking these products so that stock changes are correctly synced between the two platforms. This article lists three common scenarios you might encounter when linking your Retail POS and BigCommerce products.

What product info syncs with BigCommerce?

Important

  • Once your Retail POS and BigCommerce accounts are connected, Retail POS becomes the system of record.
  • You should manage your product catalog, pricing, and inventory information in Retail POS to ensure everything stays accurate and up-to-date.
  • BigCommerce feeds important information back to Retail POS, such as online sales, new customer or existing customer information associated with a sale, and inventory from a sale to keep stock levels in sync.

Scenario 1: I have common products in Retail POS and BigCommerce with matching SKUs and handles.

If you have common products in Retail POS and BigCommerce, the sync will link your products from BigCommerce with the same products in Retail POS by matching the product SKUs and handles.

Important

Selecting Import all BigCommerce products will sync information from BigCommerce to Retail POS, and overwrite what is currently in Retail POS. We recommend that you confirm your product information is correct in BigCommerce before initiating the sync to Retail POS. You can also create backups of your current Retail POS products by following the steps below:

1. Before you link your products, navigate to CatalogProducts and click Export list... to export your product list to a CSV file. This will act as a backup copy of your current inventory levels in Retail POS.

2. Link your BigCommerce products with Retail POS. Products have successfully linked to BigCommerce when they display the "View on Shopify" banner on the Retail POS Products page. The inventory levels for the product will also be the same on both platforms.

3. Import the product CSV file back into Retail POS to bring back the inventory levels from before linking.

To do this, follow the steps below:

1. Navigate to Setup > Apps > BigCommerce settings.

2. Once here click Import all products.

3. Any products with matching SKU and handle combinations will be linked together. If you are using barcodes in BigCommerce, you will need to transfer these to the Variant SKU field in BigCommerce before you sync your products. This is to ensure that products on BigCommerce will match existing Retail POS products.

Scenario 2: I have different products in Retail POS and BigCommerce, but I want to link and keep all products on both platforms.

If you have one group of products in Retail POS and a different group in BigCommerce, and you want to combine the two so that you have the same products on both platforms, follow the steps below:

1. First, bring the BigCommerce products into Retail POS by clicking navigating to Setup > Apps > BigCommerce settings.

2. Click on Import all products.

Important

Any images attached to products in BigCommerce will be imported.

Retail POS will then become the system of record* and any image updates or additions should be made in Retail POS. These will then sync to BigCommerce.

*For all new connections as of 20 May 2021. Connections made prior to this date will require images to be managed manually on each platform

3. Publish the Retail POS products to BigCommerce by going to the same BigCommerce settings page in Retail POS but this time, click Publish all products.

By doing this, all active products in Retail POS will be published to your BigCommerce store.

Important

When publishing products to BigCommerce from Retail POS, all images will be published, including those assigned at a variant level.

Retail POS then becomes the system of record*. Any time you update or add an image to the product, it will sync to BigCommerce.

*For all new connections as of May 20, 2021. Connections made prior to this date will require images to be managed manually on each platform

Retail POS supports image file sizes up to 8MB each. Larger files will need to be uploaded to BigCommerce directly.

Scenario 3: I have products in Retail POS and BigCommerce, but not all SKU and handle combinations match.

Sometimes you may have the same products in Retail POS and BigCommerce, but the SKUs for these products may not match up perfectly between Retail POS and BigCommerce. To fix this, follow the steps below:

1. Make sure that the common products in Retail POS and BigCommerce have the same SKUs.

2. If any common products in Retail POS and BigCommerce do not have matching SKUs, then edit the SKUs for these products in either BigCommerce or Retail POS.

Important

Before going ahead with this change it is important to note the implications of changing SKUs in Retail POS or BigCommerce:

  • If you use barcodes in store then you’d have to print the barcode again for the new SKUs.

We recommend contacting BigCommerce Support regarding the implications of changing the SKUs and handles for your products.

3. Once you have the SKUs matching for every product then head over to the BigCommerce settings page in Retail POS and click Import all products. Retail POS will look for the SKUs for the BigCommerce products and link them together.

4. It is important that you Import all products when you first link BigCommerce with Retail POS. Once you’ve done this, all future products should be created in Retail POS, as Retail POS will be the system of record for all inventory and product management going forward.
