User barcodes and user switching permissions

Retail POS assigns each user in your store a unique user barcode, which can be changed by a Manager or Admin if necessary. You can use these barcodes to switch between different users quickly, without making your users enter their passwords each time.

Accessing and printing your user barcode

All existing users in your store have a unique user barcode attached to their retail POS user account. To locate and print these barcodes:

  1. Navigate to Setup > Users.

  2. Click on the user whose barcode you want to view.
  3. The barcode will be visible in the Switch users faster section.

  4. Optionally, click Print barcode.

By default, Manager and Admin accounts can generate new barcodes for other users in your Retail POS account. To do this, click Generate new quick switch ID… and select Generate New ID.

Changing user switching permissions

You can change how user switching works, allowing for quicker switching between users or more robust security requirements.

To change user switching preferences:

  1. Navigate to Setup > Security.

  2. Select your preferred switching setup:
    • Never require a password when switching between users
    • Don’t require a password to switch users when switching with a barcode

      If a user has not logged in that day, they will have to enter their password once to allow switching without a password for the rest of the day.

    • Require a password when switching to a user with more privileges
    • Always require a password when switching between users
  3. Click Save changes.

Troubleshooting user switching

  • Your scanner may be configured in keyboard mode, meaning you can only use the scanner in Search fields. If this is the case, Retail POS will try to match the user barcode number to a product or a customer.

    To use barcodes on iPad to switch users, you'll need your scanner to be switched to iOS mode.

  • Make sure that your user switching permissions are set up to allow switching without a password.

    A user will still need to enter their password once per day to enable switching via barcode.
