Managing products with the Shopify integration

Important

  • Once your Retail POS and Shopify accounts are connected, Retail POS becomes the system of record.
  • You should manage your product catalog, pricing, and inventory information in Retail POS to ensure everything stays accurate and up-to-date.
  • Shopify feeds important information back to Retail POS such as online sales, new customer or existing customer information associated with a sale, and inventory from a sale to keep stock levels in sync.

Editing products that are linked with Shopify

What product info syncs with Shopify?

Once you have linked your products in both Shopify and Retail POS, apart from the exceptions below, your product will always be automatically updated. All other fields (name, price, tags, type, description, quantity, etc), including new variants to a product, should be edited in Retail POS when you make updates to your product.

When you edit a product in Retail POS, Shopify will automatically update when you save the changes. If you need to update a large volume of products, you can complete this via CSV import.

Some information can be edited directly on Shopify without impacting the product sync. These exceptions are:

  • Images and image SEO
  • Supply price
  • UPC/barcode
  • Collections
  • Shipping weight
  • Compare at price

Sometimes, updates take a while to process. If the update does not publish after one hour, contact Retail Support.

Editing products with the Sell Online tab

For retailers integrated with Shopify, products can also be edited using the Sell Online tab.

Important

The Sell Online tab is only accessible to retailers integrated with Shopify.

If you are not integrated with Shopify, or are also integrated with other e-Commerce integrations, such as Lightspeed eCom, BigCommerce, or WooCommerce, the Sell Online tab will not be available on the Edit Product page.

This tab simplifies the product information fields to only those that are relevant to selling products on Shopify, allowing you to get your product set up and sold online faster.

To use the Sell Online tab, navigate to CatalogProducts and locate the product you wish to edit, using the filters if necessary.

Click the edit pencil to the right of the product, which will take you to the Edit Product page.

Next, click the Sell Online tab.

On the Sell Online tab, the product information fields will be simplified to those that are relevant to selling products on your Shopify store. Enter your product information into these fields as desired.

Once the product information has been entered, you can choose whether to publish the edited product to Shopify upon saving.

To publish the product to Shopify when saved, select the Publish this product to my online store checkbox. 

If you do not wish to publish your product to Shopify when saved, simply leave this unchecked.

To finish editing the product, click Save to apply your changes or Cancel to discard them.

Using the online status filter

The online status filter simplifies the process of filtering your catalog by products that are either published or unpublished on Shopify.

  1. Navigate to Catalog > Products.
  2. Select either Published or Unpublished from the Online Status drop-down menu.
  3. Choose a specific channel, such as Shopify, from the Online Status drop-down menu.
  4. Click Search to apply the filter. Online Status Filter

Hiding products that are linked with Shopify

You can toggle the visibility of a product in Retail POS if you do not wish to display it in Shopify anymore. This can be useful if a product is seasonal, or you currently do not sell the product but may sell it again at some point in the future.

To hide a product, navigate to Catalog > Products.

Locate the product you wish to hide, using the filters if required, click the product to expand and select Edit.

Once on the Edit product page, check the Sell on point-of-sale box to make the product inactive.Shopify-Sell-On-Point-Of-Sale.png

Click Save to finish.

This will disable the product in both Retail POS and Shopify. It will no longer be accessible on your Shopify store or the Retail POS (X-Series) sell screen.

However, it does not break the link between the product in Retail POS and Shopify, so any updates made to the product in Retail POS will still carry across to the product in Shopify.

To confirm that this has worked, navigate to CatalogProducts and locate the product. Click View on Shopify underneath the product image.

On Shopify, under Manage product availability, the Online store box should be unchecked.

Important

If you make any changes to this product in Retail POS, it will be made visible again in Shopify.

If you wish to enable the product again, follow the same steps above but this time ensure that the Sell on point-of-sale box is checked.

Deleting products that are linked with Shopify

I want to delete the product from my Shopify store only

In Retail POS, click the Unpublish button on the product page. This will break the link with Shopify. The item will still appear on your Shopify store at this stage. Next, delete the item from your Shopify store.

This is useful for products you no longer have in inventory and will not be reordering. You may not want to delete them from your Retail POS store, as you want to keep the sales history.

I want to delete the product from my Retail POS store and my Shopify store.

Deleting a product in Retail POS that is published to Shopify will delete the product on Shopify, too.

It is not possible to sell products only on Shopify when integrated with Retail POS. When a new order is placed on Shopify including a product not included in your Retail POS catalog, the product will be created automatically to ensure the order can be fulfilled correctly. We recommend having all products you sell in-store and online in your Retail POS catalog to ensure the integration functions correctly.
