Creating lists and purchase orders in Lightspeed Scanner (X-Series)

Lightspeed Scanner (X-Series) offers an easy way to create and convert lists to purchase orders right on the shop floor. Lightspeed Scanner eliminates the need to carry bulky equipment around or record information manually then enter it at a desktop workstation. It also enables you to make decisions in the moment, while your inventory is in sight, to give you more control over your ordering process.

Lists can be used in other useful ways on the shop floor. For example, to make note of items you want to include in promotions or that need price adjustments, or items you want to restock or transfer to a different location.

Creating a new list

To create a new list and add items:

  1. Navigate to Inventory > List.

  2. Tap + Create list.

  3. Scan a barcode or search for an item using the Search or add products field.

  4. Enter the quantity to add to the list.

    By default, one of each product is added to the list. Changing the quantity is useful if you're converting the list into a purchase order or using the list for restocking purposes.

    To add a product with variants to the list, tap the checkbox next to each variant. Tapping on each variant's name allows you to change that variant's quantity.

  5. Tap Add.
  6. Continue adding products until your list is complete.

To save your list, tap Done. You can then create a purchase order from your list.

Converting a list to a purchase order

Once your list has been created, you can use it to make a purchase order.

Purchase orders may be created in Lightspeed Scanner, but must be reviewed and sent to suppliers in Retail POS.

To create a purchase order from a list:

  1. Navigate to Inventory > List.
  2. Previously created lists are displayed on the main Lists page. Select the list you want to convert to a purchase order.

  3. Tap Actions.
  4. Tap Create a purchase order.

  5. Use the Supplier dropdown to choose your supplier.

  6. Use the Deliver to dropdown to pick the location where the order will be delivered.
  7. By default, an order number will auto-populate in the Order Number field. You can enter a custom order number in this field instead. The order number must be unique.
  8. Tap Create.

You will be redirected back to your list. A temporary banner confirming that the purchase order has been created will display.

Viewing, editing, and deleting lists

Viewing a list

To view the items on an existing list:

  1. Navigate to Inventory > List.
  2. Tap on the list you want to view.
  3. Tap Actions > View list.

You will be shown a truncated version of all products on your list. To exit, tap Done.

Renaming a list

To rename a list:

  1. Navigate to Inventory > List.
  2. Tap on the list you want to rename.
  3. Tap Actions > Rename list.
  4. Enter a name for the list and tap Save.

Deleting a list

Deleting a list is permanent and can't be undone.

To delete a list:

  1. Navigate to Inventory > List.
  2. Tap on the list you want to delete.
  3. Tap Actions > Delete list.
  4. A warning will appear. To permanently delete your list, tap Delete.
