Creating services

In addition to selling products, your business may also provide services like repairs, cleaning, or maintenance.

You can attach services to sales at the register or create services directly on the Services page without processing a sale.

Navigating the Services page

  1. In Retail POS, navigate to Services.
  2. Click the Current tab to view all new, ready to be worked on, or in progress services, or the All tab for all services, including those that have been completed and canceled.

  3. Click on the Sale receipt, Date scheduled, or Status column headers to sort your services.
    • Sale receipt: Sorts sales by newest-to-oldest or oldest-to-newest. You can use this to track the dates sales with services were made.
    • Date scheduled: Sorts by soonest-to-latest or latest-to-soonest. You can use this to track scheduled services.
    • Status: Groups sales with services by status. You can use this to see a high-level view of the progress of your sales with services.

  4. Use the filters then click Search to find specific services.
    • Status dropdown: View all orders of a specified service status.
    • Customer: View a customer's service orders.
    • User: View all orders assigned to an employee.
    • Receipt or note: Use keywords to search for receipts or notes.
    • More filters > Outlet dropdown: View all orders for a specific location.

  5. Click to expand the row to view the Details and Labor and items tabs and manage the service, including changing the status, assigning a user, viewing the sale, editing the schedule, adding notes, or printing the service.

Creating a service on the Services page

Services can be created directly on the Services page without processing a sale.

  1. Navigate to Services > Current tab. If prompted, select a register.
  2. Click Create service.

  3. In the Customer and service item section, click Add a customer. Search and select the customer's name from the dropdown list.

    1. If the customer is leaving an item to be serviced, click the Service item dropdown > select an item or +Add new service item.

      If you're adding a new service item, enter the item name and optionally add the serial number, description, and condition of the item, then click Add new service item.

  4. In the Details section:
    1. Click the Status dropdown to set a service status.
    2. Search for a user and click to assign that employee to the service.
    3. Add in-store location details for the item.

  5. In the Notes section, add a note with applicable service information. To add the note to the customer's receipt, check the Visible to customer box. The note, the user who created the note, and the creation date will display in the Notes section.

  6. Optionally, if you want to add a photo, click + Add photos to note, then click Upload photos or drag and drop the photo into the upload area. If you want to delete a photo, click the X (Delete) button in the top-right corner of the photo, or drag and drop the photo outside of the upload area.

    You can add up to 10 photos with a maximum file size of 8 MB per photo.

  7. Click Add note to save the note and photos.
  8. In the Products section, search for a product and click to add it to the service. To make changes to the quantity, price, or discount, click the product name to expand the row. To remove a product, click the trash (Delete) icon.

  9. Click Save at the top of the page.

Emailing and printing a service

After a service is created, you can email the customer a service receipt and print a copy for your records.

  1. In the Service saved window, toggle on Email service to (email address). You can adjust the receipt template by clicking the default template name.

    If you click Edit additional fields when Email service to (email address) is toggled on, the service will be immediately emailed to the customer and you will be redirected to the Edit service page.

  2. To print, click Print service.
  3. Click Continue to services.

You can also print an existing service by navigating to Services > Current tab > find the sale with the service and click to expand the row > Print service.

Creating a service during a sale

Services can be attached to all sales types, including regular, unfulfilled, and On account sales.

  1. Navigate to Sell > Sell.
  2. Attach a customer to the sale and add products, including any non-inventoried products for servicing.

    If the sale includes out-of-stock products, you can choose to fulfill later and continue creating the service.

  3. Click More actions > Create service.

  4. Verify the customer's contact information so they can be notified when the service is complete. Click Next.

  5. Click Add an item, then select an existing item for servicing or +Add new item and enter the item name and optionally the serial number, description, and condition of the item. Otherwise, click There is no item. Click Next.

    Edits to existing items will update historical records to maintain consistency (not applicable on on iOS).

  6. (Optional) Enter a description of the work to be done and where in the store the items are located. Notes will be visible on the customer's receipt.

  7. (Optional) Enter how long the service will take in hours and minutes. This time will be added to the New schedule column in the table. Then, select a date the service will be completed from the table or using the calendar date picker.

  8. Click Create service. If an email or phone number is not attached to the customer profile, you'll be prompted to enter the customer’s contact information before the service can be created.

Taking payments for services

After creating and scheduling a service on a sale, you can take full, partial, or no payment depending on your store policy. Once a sale is completed, products attached to a sale will be immediately removed from your inventory.

A sale with a service paid in full cannot be edited once the service is completed.

  1. Create a sale with a service.
  2. Click Pay.

    Use the Pay button to finalize the service sale.

  3. Select the payment method to complete the sale.
  4. Click Complete Sale.

Taking a partial payment (deposit)

For services that require a deposit, you can process a partial payment and then place the remainder on layaway or On account for the remaining balance to be paid later.

  1. Create a sale with a service.
  2. Click Pay.
  3. Enter the partial payment amount and select a payment method to process the payment. This includes store credit and loyalty. On account and layaway can't be used to pay for the deposit. Once processed, the sale will recalculate to display the remaining balance owed.

    For services attached to an unfulfilled sale, once a deposit is taken, click Save Sale. This will set the service status to Awaiting part on the Services page.

  4. Click Layaway or On account to save the remaining balance to be paid later.
  5. Click Complete Sale.

The sale will be displayed in the Sales history as partially paid and service pending. The remaining balance can be paid when your customer picks up their item once the service is completed.

Processing as a layaway or On account sale

For services that do not require a deposit, you can process the sale as a layaway or On account sale as you would a partial payment.

  1. Create a sale with a service.
  2. Click Pay.

    For services attached to an unfulfilled sale, click Save Sale. This will set the service status to Awaiting part on the Services page.

  3. Click Layaway or On account to process the total to be paid later.
  4. Click Complete Sale.
