Creating quotes in Retail POS (X-Series)

A quote is a document that lists products and prices so customers know how much they’ll have to pay before finalizing a purchase. Quotes can be used for many different workflows but are primarily used when customers are buying in bulk or shopping around to compare prices.

You can create a quote and save it right from the Sell screen. You can also view quotes on the Quotes page, giving you easier access and better visibility on existing quotes.

Creating quotes

  1. Navigate to the Sell screen.
  2. Attach a customer to the sale and confirm the information is correct.

  3. Add the desired products and any discounts.
  4. Click More actions > Create quote.

  5. Confirm all the information is correct.
  6. Toggle Email quote on or off.

  7. Add a note to the quote if desired.

    To have your notes appear on quotes, navigate to Setup > Outlets and registers > Edit register. Next to Print note on receipt select Yes and click Save register.

  8. Click Complete quote.

Quote numbers

Quotes will now be assigned a Quote number for easier recall. New quotes will start with an ID of 1 and increase by 1 with each newly created quote. Accounts with existing quotes will start with an ID of N+1, where N is the total count of previously existing quotes.

For example, a merchant with 5 existing quotes has a new quote created with Quote number 6. The 5 existing quotes will retain their original 19-digit ID. A merchant with no quotes has a new quote created with Quote number 1. The next quote will be Quote number 2.

Emailing a quote

  1. Navigate to Sell > Quotes or tap Menu > Quotes on iPad.
  2. Search for a quote by Status, Customer name, Quote number, or Note.

  3. Select the quote to expand and then click Email quote.

  4. Confirm the email address on the quote and click Email quote.

Converting a quote to a sale

Once a quote has been created, you can convert a quote to a sale and complete the sale as per your normal workflow.

  1. Navigate to Sell > Quotes or tap Menu > Quotes on iPad.
  2. Search for a quote by Status, Customer name, Quote number, or Note.
  3. Click the quote to expand and then click Convert to sale.

  4. Complete the sale as per your regular workflow.

Archiving quotes

  1. Navigate to Sell > Quotes.
  2. Search for a quote by Status, Customer name, Quote number, or Note.
  3. Click the quote to expand and then click Archive.

  4. In the warning message, click Archive quote.

On the Quotes page, archived quotes will show as Archived in the Status column. You can also filter by status to view archived quotes.
