Retail POS allows you to customize your receipt templates and assign individual templates for each register. You can personalize the information on your receipt templates, as well as choose to include or exclude certain information.
What you'll need
- The type of printer you're using (thermal or standard). For help setting up your receipt hardware, refer to our Supported hardware guide.
- Company name and tax number (if required for your region).
- Address and other contact details for your store(s).
- Company logo:
- No more than 190px wide for a portable thermal printer.
- No more than 290px wide for a countertop thermal printer.
- No more than 840px wide for a standard desktop printer.
- Black and white, or monochromatic for best results. Color and grayscale images are not recommended when using thermal printers.
Creating a receipt template
You can set up multiple receipt templates. If you have outlets in different countries, you can set up one receipt template in each country to meet local requirements. Multiple templates are also useful when you want to issue both receipts and tax invoices.
- Navigate to Setup > Outlets and registers.
- Click Add Receipt Template.
- Under General, enter a Template Name.
- Choose your Template Style from the dropdown menu. This will be determined by the type of printer you're using.
- For a standard desktop printer, select Standard Invoice.
- For a thermal receipt printer, select Standard Thermal Receipt.
- Click Save.
Your receipt template will now be saved and can be further customized.
Customizing your receipt template
Once the framework for your receipt template is set up, you can start customizing the layout.
Many of the fields are pre-populated for you as suggestions of what you may like to include on your receipts. You do not have to change any of these fields unless you would like to further customize the fields on your receipts.
Retail POS supports receipt printing in both English and French (CA). Set your browser to the desired language and create a new receipt template, following the steps below to update the custom fields. Supported language receipt templates can be printed from both desktop and iOS.
Header
Logo
You can import your logo to appear at the top of the receipt. Ensure it fits the image requirements (JPG, PNG or GIF file, no wider than 280px).
Header Information
Enter any required or relevant details. You might want to include:
- Store name
- Address
- Website
- Contact phone number
- Legal trading name and tax number (You can alternatively put these in the footer)
- If you want the receipt to be a tax invoice, type in Tax invoice
Limit the amount of information in this section, as too much text may cause the printouts to become unaligned.
Invoice Number Prefix
Type your receipt or tax invoice number.
Display Served By
Select the Display Served By checkbox to show who the customer was served by on their receipt.
You can also enter custom text in the Served By Label field.
Line Items
Select which information will be displayed in the line items of your receipts. You can also select the checkbox to Display Tax Per Line Item.
Displaying tax per line item is required in some jurisdictions as per local legal requirements. Please check if this is a requirement in your area.
Totals
Labels
Type in your custom labels for the total values on your receipts.
Display totals
Select the checkbox(es) to choose whether to Display Tax Totals, Display Loyalty Earned, and Display Gift Card Information. You can customize the labels of the displayed tax totals and/or Loyalty earned.
Customer Information
Select the checkbox to Display Customer Details. Customize which of your customers' details will be displayed on the receipt.
Footer
Footer Information
Enter any additional information in the Footer Information field.
Display sale barcode
Select the checkbox to choose to Display sale barcode. This will turn the receipt number into a barcode printed on the receipt, allowing you to scan it and quickly locate the sale if the customer returns to your store. Receipt barcodes are useful if you run a service business, like a dry cleaner or a tailor, or if you have many customers using layby and account sales.
Display Loyalty Message
Select the checkbox to Display Loyalty Message, which encourages customers to register for your store's Loyalty program.
Email Receipts
Customize the Subject Line of the receipt that will be emailed to your customer.
Finishing your template
Once you have finished customizing your receipt template, click Save.
Assigning a receipt template
You can assign a receipt template to a specific register, allowing further customization for each POS location in your store.
- Find the register you want to assign a receipt template to and click on Edit register.
- Under Receipt, use the Receipt template dropdown menu to select your template.
- Optionally, you can choose what actions to take at the end of a sale. You can opt to select the user for the next sale, email the customer their receipt, print their receipt, ask for a note on certain types of sales, print the note on the receipt copy, and/or show discounts on the receipt.
- Select Save Register to finalize your changes.
Your receipt template for this register will be updated.
Editing a receipt template
If you need to later edit a receipt template due to changes in store information or legal requirements, you can do so at any time.
- Navigate to Setup > Outlets and Registers.
- Click on the heading of the receipt template you wish to edit.
- You will be taken to the Edit Receipt Template page, where you can make the desired changes.
- Click Save.
Your receipt template will now be updated.
