Setting up Loyalty in Retail POS (X-Series)

To set up Loyalty, the Loyalty module must be enabled in your account. To offer Loyalty online, you'll need eCom (E-Series). If needed, you can adjust your plan under Setup > Billing> Upgrade plan in Retail POS or contact your Account Manager.

After enabling Loyalty, you can set how much loyalty your customers will earn with each sale, offer a sign-up bonus, and automatically send a welcome email to new members.

Enabling and configuring Loyalty

  1. In Retail POS, navigate to Setup > Loyalty.
  2. Click Enable Loyalty. This will take you to the loyalty settings page.

  3. In the Earning percentage section, enter the percentage you want customers to earn on their purchases (0-100%).

  4. If you enter a new percentage and have products with custom loyalty amounts, confirm whether you want to keep the custom loyalty amounts or reset according to the new percentage.

  5. Click Save changes.

Understanding Loyalty calculations

Loyalty is calculated based on the percentage (or earning ratio): Retail price x Loyalty percentage = Loyalty earned. Both tax and rounding are considered part of the loyalty calculation, while tipping and shipping fees are not.

Tax

The Loyalty calculation is always based on the retail price. Retail prices may be tax-inclusive or tax-exclusive, depending on your tax settings.

You can change whether your store is tax-inclusive or exclusive during your trial period. Once you activate your account, you can no longer change this setting.

Rounding

If the loyalty calculation yields a value greater than 2 decimal places, the following rounding occurs:

  • 0.001-0.004: Rounds down to the nearest cent.
  • 0.005-0.009: Rounds up to the nearest cent.

Tipping

Tipping is possible on both Retail POS and eCom (E-Series). Regardless of where a tip is made, customers won't earn loyalty on the tipped amount.

Setting a minimum loyalty balance for redemption

You can set the requirements for redeeming loyalty so customers can only redeem loyalty after they meet the minimum balance you specify. These requirements apply to both in-store and online sales.

  1. Navigate to Setup > Loyalty.
  2. Under Redemption settings, check the Set redemption minimum box.
  3. Specify the Loyalty redemption minimum amount.

  4. Click Save changes.

Offering a sign-up bonus

  1. Navigate to Setup > Loyalty.
  2. Under Sign-up, check the Set sign-up bonus box to offer a one-time sign-up bonus.
  3. Enter a dollar amount (minimum 0.01) in the Sign-up bonus in Loyalty field.

  4. Click Save changes.

Customers will receive their sign-up bonus when they enroll in the Loyalty program at checkout or using the QR code on their receipt

Sending a welcome email

You can automatically send a welcome email to customers who provide an email address.

  1. Navigate to Setup > Loyalty.
  2. In the Sign-up section, check the Send welcome email box.
  3. Enter your customized email subject line and message.

  4. To add an image:
    1. Click the Insert/edit image icon on the text editor menu.Insert/edit image icon on the text editor menu highlighted.
    2. In the Source field, enter the URL for the image. Images must be hosted online (a website, a social media site, or with a web storage provider) to be included in the email.
    3. Enter the alternative description and the width and height for the image.Insert/Edit Image dialog box.
    4. Click Save.
  5. Click Preview welcome email to preview what your customers will receive upon sign-up.
  6. Click Save changes.

Setting a Loyalty expiry policy

If you add a loyalty expiry policy, loyalty balances will expire after a specified period of time if a customer doesn't make a purchase where loyalty is earned or redeemed before that time.

It's important to examine liability of customer Loyalty balances when choosing a Loyalty expiry policy. Ensure your Loyalty expiry policy complies with relevant local consumer regulations.

  1. In the Expiry section, select either No expiry or Expiry based on last purchase.
  2. If you selected Expiry based on last purchase, use the dropdown menu to select a validity period (3 months to 5 years). If no purchase is made where Loyalty is earned or redeemed in that time, the balance will expire.

  3. Click Save changes.

Disabling Loyalty

  1. To disable Loyalty across Retail POS, click Disable Loyalty at the bottom of the page. If you have eCom (E-Series), this button will also disable Loyalty in your online store.
