Receiving stock without a purchase order

With the receive stock function in Retail POS, you can receive stock into your inventory for orders that are placed outside of Retail POS without having to retroactively create a purchase order first.

For purchase orders that have already been created in Retail POS, you can receive these orders using the regular receiving workflow.

To receive stock in Retail POS:

  1. Navigate to Inventory > Stock control and click Receive stock.

  2. Enter the Delivery details. When receiving stock, you are required to select an outlet from the Delivery recipient dropdown and enter an Order number. The other fields in this section are optional.

  3. In the Products section, add your products by typing the product name or SKU in the search field, or by scanning the product barcode.
    If you're scanning products, you can toggle on the Quick scan option. This directly adds the SKU of a variant, allowing you to skip manually selecting the variant from the parent product.

    If the product has not yet been created in Retail POS, click Add "X" as a new product to your local catalog and enter the product details. For more information on adding new products through the Stock control page, refer to our Using the quick add product modal guide.   4. In the Received quantity field, enter the quantity received for each product.

  5. The Supplier price per unit field will automatically populate with the product's supply price. If this changes, enter the new price and Retail POS will recalculate the product's average cost. This will not change the product's default supply price.

    To change the regular supply price of a product, you need to edit the product information on the Products page (Catalog > Products).

  6. Enter any relevant discounts, shipping costs, and import duties.
  7. (Optional): Click Save if you want to save the details you entered, but don't want to complete the process yet. To reopen the purchase order and continue receiving later, navigate to Inventory > Stock control > Orders and locate the stock order.

  8. Click Receive.
  9. A pop-up window will confirm that you are about to receive the delivery, and that this action can't be undone. Click Receive delivery to finalize the receipt.
