The Lightspeed Scanner app makes performing inventory counts quick and efficient. Set up an inventory count and count products right from your mobile device or with the help of a barcode scanner. Multiple devices can complete an inventory count at the same time, without overriding each other. All count information is synced right to Retail POS.
While you can set up and count products using Lightspeed Scanner, reviewing and approving your counts must be completed in Retail POS on a desktop.
Setting up a count
To set up an inventory count using Lightspeed Scanner:
- Navigate to Inventory > Count.
- Tap + Create count to start a new count.
- Choose whether to Count now or Schedule count for a later date.
If you choose the Count now option, you will be asked to specify which outlet the count will be taking place in (Outlet) and to name the count (Count name).
If you choose Schedule count, you will also need to specify the future start date and time for this count.
- Choose which products to include in your count. You can choose to include Specific products or All products.
If you choose Specific products, tap + Add products to count. Then add your products, searching by product name, supplier, brand, category, tag, SKU, or by scanning the product's barcode. When finished adding products, tap Back.
- Optionally, use the Also count inactive products toggle to include inactive products that aren't currently available for sale.
- Tap Start.
You will be automatically redirected to the product counting page. Tap Cancel to exit this page and save your place, or continue to counting products.
Counting products
Counts are uploaded to Retail POS every 10 seconds when online, ensuring you don't lose data if you exit in the middle of counting.
The first time you start a count in the Scanner app, whether set up through the app or on Retail POS, the app will need to process a full sync of your product database. This can take some time depending on the size of your product catalog, but will only need to be performed once.
To begin counting products:
- Use the in-app camera to scan a product barcode, or search for a product in the Search or add products field.
- Use the Quantity field to adjust the number of products counted. If there are no products, tap Mark as 0 stock.
- Once you've finished counting your items, tap Finish counting.
A confirmation screen will appear, stating that your count has been uploaded to Retail POS for review. You can Resume counting if necessary. Otherwise, tap Got it, thanks! to be redirected to your Counts page.
If a device loses internet connection, your status will change from Uploaded to Offline. All products counted while offline will be synced when connectivity is restored.
Once your count is submitted, you'll need to review your counted items in Retail POS on desktop.
Once you've completed your count on Retail POS, the count will no longer be displayed in Scanner. You can access historic inventory counts by navigating to Inventory > Inventory counts > Completed.
