Creating quotes in Retail POS (X-Series)

In Retail POS, you can create a quote that lists products and prices so customers know how much they’ll have to pay before finalizing a purchase. Quotes are created on the Sell screen, then converted to a sale and processed per your normal workflow. You can view open, completed, and archived quotes on the Quotes page.

Lightspeed Payments merchants in the US, Canada, and Australia can use the new quote builder experience to build, customize, and edit quotes without the need to void and recreate the quote. From the Quote builder page, you can manage quotes and drafts, collaborate on revisions, and view revision history.

Creating quotes

  • Creating quotes (legacy quotes)

    To create a quote:

    1. Navigate to Sell > Sell.
    2. Add products to the sale and attach a customer.

    4. Toggle on Email quote to (customer's email address) to send the quote by email.

    5. (Optional) Add a note to the quote.

      To have notes appear on quotes, navigate to Setup > Outlets and registers > Edit register. Next to Print note on receipt, select Yes > Save register.

    6. Click Complete quote.
  • Creating quotes in the Quote builder

    • Available with Lightspeed Payments in the US, Canada, and Australia.
    • The new quote builder is currently in beta and may not be available in your account.

    To create a new quote:

    1. From an open sale, click More actions > Create a quote or navigate directly to Sell > Quote builder.
    2. Click + Create quote.
    3. In the Add a customer field, search for a customer or enter a new customer name and click + Add as new customer.

    4. Add products using the Search for products field.
    5. Click the + (Add) icon to:
    6. To edit a product, click it to expand the product details, then update the quantity, unit price, or discount percentage or add a customer-facing note > Apply. To remove a product, click Remove.

    7. To request a deposit with the quote, toggle on Request deposit. Select either a Percentage of the item price or an Amount for the deposit and enter a value.

    8. To add a note to staff, click Internal note and add the details.
    9. At the top of the page, click:
      • Send quote to send the quote to the customer. Review the quote details, customer email, and optionally add a message for the customer, then click Send.
      • Discard draft to delete the quote.
      • The three dots (More) icon to Print PDF or Mark as accepted.
      • The back arrow to exit the page and save the quote as a draft.

    After a quote has been sent, the customer will receive an email where they can review and accept the quote. If applicable, they’ll be prompted to pay a deposit when accepting.

Editing quotes in the Quote builder

  • Available with Lightspeed Payments in the US, Canada, and Australia.
  • The new quote builder is currently in beta and may not be available in your account.

If you edit a quote, it will be marked as Pending and customers won’t be able to accept it until you’ve finalized the update. Changes are displayed in the Activity section.

  1. Navigate to Sell > Quote builder.
  2. Click the quote to open the quote page.
  3. Click Edit quote.

  5. Edit as needed, then click Update quote.

  6. Review the quote details, customer email, and optionally add a message to the customer, then click Update and send by email or Just update to update without notifying the customer.

To cancel an update without saving, click Discard version.

Emailing a quote

  • Emailing a quote (legacy quotes)

    To email a quote to a customer:

    1. Navigate to Sell > Quotes or Menu > Quotes on iPad.
    2. Locate a quote and click to expand and the row.
    3. Click Email quote.

    4. Confirm the email address on the quote and click Email quote.

    To email a quote to a customer in the Quote builder:

    1. Navigate to Sell > Quote builder.
    2. Click the quote to open the quote page.
    3. Click Update quote.
    4. Review the customer's email address and optionally add a message.

Converting a quote to a sale

  • Converting a quote to a sale (legacy quotes)

    Once a quote has been created, you can convert a quote to a sale and complete the sale as per your normal workflow.

    1. Navigate to Sell > Quotes or Menu > Quotes on iPad.
    2. Locate a quote and click to expand and the row.
    3. Click Convert to sale.

      Converting a quote with a pending payment request to a sale will cancel the payment link.

  • Converting a quote to a sale in the Quote builder

    To convert a quote to a sale in the Quote builder:

    1. Navigate to Sell > Quote builder.
    2. Click the quote to open the quote page.

      A Pending quote can't be converted to a sale.

    3. Click Accept quote.
    4. Review the warning message, then click Accept quote.

Archiving quotes

  • Archiving quotes (legacy quotes)

    To archive a quote:

    1. Navigate to Sell > Quotes.
    2. Locate a quote and click to expand and the row.
    3. Click Archive.

  • Marking quotes as lost in the Quote builder

    To mark a quote as lost and archive it in the Quote builder:

    1. Navigate to Sell > Quote builder.
    2. Click the quote to open the quote page.

      A Pending quote can't be marked as lost. You can click Discard version to discard the current draft.

    3. Click the three dots (More) icon > Mark as lost.
